As part of its academic mission, the Université de Montréal (hereinafter “UdeM”) must collect, use and disclose personal information.

Collection and Use of Personal Information

By submitting an application for admission, you authorize UdeM to create a file containing personal information about you. This information is confidential. By providing personal information through the UdeM website, you agree to this information being handled as set out below. Your personal information will be stored on our servers located in Canada, and physical, organizational, contractual and technological security measures have been implemented to protect such information.

We will use, disclose or retain this information only as long as necessary to meet our objectives and to the extent permitted or required by law. This information shall be used for purposes that include admissions, managing your student file, accessing UdeM learning platforms and communication tools, and membership in UdeM student and alumni associations. The information collected for admission is mandatory and anyone who refuses to provide it cannot be admitted or registered at UdeM. The information in the file is accessible and may be corrected on request if it is inaccurate, incomplete or incorrect.

Release under the Act respecting Access

In compliance with the Act respecting Access to documents of public bodies and the Protection of personal information (hereinafter the “Act respecting Access”), the release of some of your personal information may be made as follows:

  • Educational institutions attended in Québec:
    • Obtaining and releasing the academic results of educational institutions attended in Québec;
  • Ministry responsible for higher education:
    • Obtaining academic results from the ministry responsible for higher education;
    • Releasing and obtaining the information needed to create and validate a permanent code;
    • Obtaining, validating and releasing the information needed to manage data on university enrolment and residency in Québec;
  • Bureau de coopération interuniversitaire (BCI):
    • Releasing information needed to process admissions and produce statistics;
  • Québec and Canadian immigration agencies and authorities:
    • Obtaining confirmation of status and for issuing a Québec Acceptance Certificate;
  • Student associations:
    • Releasing, for membership purposes, contact information as required under the Act respecting accreditation and financing of students’ associations;
  • Statistics Canada:
    • Releasing information required under the Statistics Act. If you do not want your personal information to be used, you can ask Statistics Canada to remove it from the national database;
  • Other government agencies and bodies (e.g., Education and Higher Education, Labour, Employment and Social Solidarity, Immigration, Revenue):
    • Releasing information required under statutory investigative and audit powers;
  • Authorized personnel of UdeM:
    • Accessing personal information needed to perform their duties and to fulfill UdeM's mission;
  • Subcontractors:
    • Releasing information necessary for purely technical and logistical reasons, to enable subcontractors to perform their duties and contracts with UdeM.

If your application for admission includes the undergraduate medical program of the Faculty of Medicine at UdeM, we will release your personal information needed to process admissions and candidate selection to partner institutions, in accordance with current intergovernmental and/or interuniversity agreements.

Once admitted and registered at UdeM, we will release your personal information to the parties and for the purposes set out below:

  • Université de Montréal: for the purposes of creating an electronic directory you also authorize UdeM to make public the fact that you are a student or graduate of UdeM as well as the program(s) of study to which you were admitted as well as the diploma(s) and year obtained. You authorize UdeM to use your personal identifying information for your student file and for your employee file, if applicable. You authorize UdeM to use your personal identifying information for your student file and for your employee file, if applicable. You also authorize UdeM to use your personal information for philanthropic purposes in order to receive invitations to various activities organized by the faculties and the university, and to participate in surveys;
  • Government agency providing student aid: for purposes of granting financial aid (loan, bursary or other form of assistance);
  • Regulatory or professional bodies (e.g., professional orders or associations): for the purposes of having the right to practice;
  • Researchers: for the purposes of research approved by a UdeM ethics committee;
  • HEC Montréal and École Polytechnique de Montréal: for the purposes of sharing your academic record, including courses and grades, if you are registered in a joint program between UdeM and one of these institutions or if you indicate your intention to obtain a combined bachelor’s degree, the elements of which are shared between UdeM and HEC Montréal or École Polytechnique Montréal.

Undertaking

By submitting your application for admission and for any subsequent registration at UdeM, you undertake to comply with the provisions of the Charter, By-laws, regulations, resolutions, policies, directives and practices of UdeM in effect at the time of your application and throughout the duration of your studies, and with any provision affecting you under agreements that may be entered into between UdeM and any professional association or any other institution welcoming UdeM students with a view to enabling them to achieve the objectives of their programs of study.

  • UdeM is under no obligation to admit a person who has filed an application for admission;
  • programs and course descriptions are published for informational purposes, and UdeM reserves the right to make changes thereto;
  • criminal record or vaccination checks may be mandatory for certain academic activities (e.g., internships), for admission to professional orders or associations, or for hiring purposes;
  • UdeM accepts no responsibility if, due to circumstances beyond its control, a course or exam cannot be given, or there is a delay in evaluating student work, in assigning grades or awarding diplomas;
  • UdeM does not guarantee recognition of any diploma(s) by any professional order or association.
